Use Phone as Document Scanner for Statements

By FastBankConvertPublished October 17, 2026

To use a phone as a document scanner, open the scanner already built into it: Notes or Files on an iPhone, the Google Drive app on Android. Lay the statement flat in soft daylight, hold the phone straight above the page, capture every page into one scan, and save it as a single PDF named for the account and month.

Built-in apps that turn a phone into a document scanner

Most phones already have a document scanner, so there is nothing to install. On an iPhone, the Notes app and the Files app both scan. On Android, the Google Drive app has a scan mode. All three find the page edges, flatten the shot and let you add more pages before saving.

iPhone: Notes or Files

Apple's guide to scanning documents on iPhone or iPad covers both apps. In Notes, tap the attachment button and choose Scan Documents. In Files, tap the More button and choose Scan Documents. In Auto mode the page is captured on its own. Otherwise tap the shutter or press a volume button, drag the corners to fit the page, and tap Keep Scan.

Files is the better start for statements, because it asks where to save the scan as the last step. A scan made in Notes stays inside a note until you share it out.

Android: Google Drive

Google's help page on scanning documents with Google Drive gives the Android route. Open Drive, tap the camera icon at the bottom right, and point the phone at the page. A blue line shows the area that will be kept. After the shot you can crop, rotate, apply a filter, clean marks, add pages, then save as PDF or JPG. Some Android phones also have a document mode in the camera app itself.

Do you need a separate scanner app?

For statements, usually not. A downloaded scanner app may add features such as batch naming or cloud folders, but it also means another company may handle images of your account number and spending. If you do try one, read where it stores scans and whether it uploads them, and check whether the free version stamps a watermark across the page, which a converter would then try to read.

Lighting a statement page for a phone document scanner

Light the statement from the side or from above with soft, even light, such as daylight from a window or a ceiling lamp. The aim is a page with no bright patches and no dark shadow, because both hide digits. The phone and your hand are the usual source of a shadow, so keep the light off to one side.

A few lighting choices matter more than they look:

  • Skip the flash where you can. A flash makes a hot spot in the middle of glossy paper, and statements are often slightly glossy. Apple notes that newer iOS versions let you pick flash options in the scanner, which makes it easy to keep it off.
  • Avoid mixed light. A warm lamp on one side and cool daylight on the other gives the page two tints, and the scanner's clean-up filter can treat one half as background.
  • Watch for your own shadow. If the page looks darker on one edge, step to the side of the light, not in front of it.
  • Use a dark surface under the page. A dark desk or a sheet of dark card makes the white page edges easy for the scanner to find.

Holding the phone square over a document

Hold the phone flat and parallel to the page, straight above its middle, so the camera sees a rectangle and not a trapezoid. A tilted phone makes one end of the page larger than the other. The scanner can correct a small tilt, but correction stretches the far end, and stretched print reads less reliably.

Keeping the page flat

A folded or curled statement bends the rows, and a bent row can make two columns drift into each other. Unfold the statement and press it flat under a heavy book for a minute before scanning. Hold curled corners down with coins placed outside the text area, not with fingers that end up in the shot.

Distance and framing

Hold the phone just high enough for the whole page to fit with a thin border of desk around it. Going higher wastes resolution. Going lower crops the edge of the page, and the first or last column can be lost. Let the scanner find the corners, then check them before you keep the scan.

Steady hands

Brace your elbows on the desk or stand with your arms close to your body. If Auto mode hesitates, hold still for a moment, or switch to manual capture and press the shutter yourself.

How do you save scanned statement pages as one PDF?

Save all the pages of a statement as one PDF by adding each page to the same scan before you tap Done or Save. In iPhone Notes and Files, you keep scanning after each Keep Scan. In Google Drive, you tap Add after each page. One statement should become one file, in page order.

A step list for an example three-page statement

The steps below scan an example three-page checking statement, saved as checking-2026-09.pdf.

In Google Drive on Android:

  1. Lay page 1 flat on a dark surface in daylight.
  2. Open Drive and tap the camera icon.
  3. Hold the phone square over the page and take the photo.
  4. Crop if the blue outline missed an edge, and choose the grayscale filter.
  5. Tap Add, replace page 1 with page 2, and repeat for page 3.
  6. Tap Done, name the file checking-2026-09, choose PDF, pick a folder and tap Save.

In the Files app on iPhone:

  1. Open Files, tap the More button, then tap Scan Documents.
  2. Let Auto mode capture page 1, or tap the shutter.
  3. Drag the corners to the page edges if needed and tap Keep Scan.
  4. Swap in page 2, then page 3, keeping each one.
  5. Tap Done, choose a folder and tap Save.
  6. Rename the file to checking-2026-09 and check that it shows as a PDF in Files.

Apple's page does not name the format the scan is saved in, so do the last check before you rely on the file.

Keep pages in order

Scan the pages in the order printed on them. A converter reads a PDF from first page to last, and a running balance only makes sense when the pages follow each other. If a page comes out wrong, retake that page inside the same scan rather than starting a new file.

Is a phone document scan good enough to convert?

A phone document scan is usually good enough to convert when the print is sharp at full zoom, the page edges are straight, and every page is present. Scans are read as images, so they take longer than a digital PDF and carry a small risk of misread digits. A careful scan keeps that risk low.

A desk setup checklist

Run through this before the first page, not after the last one:

  • Statement unfolded and pressed flat.
  • Dark, plain surface under the page.
  • Soft light from the side, flash off.
  • Phone lens wiped clean, since a smudged lens blurs every page.
  • Pages stacked in printed order, face up.
  • Scanner app open in Auto mode.

Checks on the finished scan

Open the saved PDF and zoom into the amount column on each page. Every digit should be crisp, with clear gaps between characters. Look at the last line on each page, which is where a crop most often cuts. Count the pages against the statement's own page numbers.

If you plan to convert on a computer, move the file there first. Sending an Excel file from your phone to your computer covers the routes, and they work the same for a scanned PDF. To pick a tool for the conversion, comparing software that converts PDF to Excel sets out what to test on a scan. FastBankConvert says scanned paper statements take longer than digital ones; it is getting ready to open, and Get started is where to join.

When not to use a phone as a document scanner

Do not use a phone as a document scanner when the bank can give you the statement as a PDF. A downloaded statement is text, so nothing has to be read from a picture, and nothing can be misread. Scan only the months the bank no longer offers online, or paper you were handed.

Other cases where a phone is the wrong tool:

  • A thick stack of statements. Scanning a year of paper by hand takes a long time and invites skipped pages. A sheet-fed scanner is better for a stack.
  • Very small print or faded paper. A flatbed scanner lights the page evenly from inside, which suits old, faint statements.
  • No phone to hand, but a laptop with a camera. A Chromebook can do a similar job. Scanning documents with a Chromebook camera shows where its scan mode is and where the file saves.

The phone scanner is the quick fix for a single paper statement. For anything larger, ask the bank first.
